Terms and Conditions

1. General Terms and Conditions

1.1 Applications

All Application Forms must be submitted by 30 June 2026 and accompanied by the following:

  • A copy of your Public Liability Insurance.

  • Food Hygiene Certification (if applicable).

  • Completed Risk and Fire Assessment Forms (or your own equivalent risk assessments).

Applications will not be processed without these documents.

Applications received after the closing date will be considered subject to space availability.

2. Stall Allocation and Trading Rules

2.1 Stall Assignment

Stall locations are allocated in advance by WPCC and are final. Stallholders must trade only from the pitch assigned to them.

Stallholders may not relocate to another pitch without the express permission of the organisers. Unauthorised movement may result in being required to return immediately to the allocated pitch and may affect eligibility for future events.

Stall locations are determined in advance to ensure fair distribution, safe access and the overall balance of the event. Requests to change pitch on the day cannot normally be accommodated.

All pitch allocations are made in good faith and on a non-discriminatory basis.

Selling or transferring your allocated plot to another stallholder is strictly prohibited and may result in disqualification from future events.

2.2 Trading Rules

Amplified sound is not permitted.

Stallholders may not sell alcohol unless express permission is granted by the organisers.

All trading must take place within your allocated stall boundaries.

No stallholder may move around the site to collect money, distribute leaflets, or advertise.

Only the items as generally described in your application may be sold. Selling items that differ significantly in nature may result in you being asked to cease trading.

Ensure you have selected the correct stall category on the Application Form. Please contact us if you are unsure.

Environmental and Product Standards

In keeping with the character of the Common and WPCC’s environmental commitments, we prioritise locally made, sustainably produced and good-quality goods. The sale of mass-produced plastic novelty items or single-use plastic goods is not permitted, even where proceeds support charitable causes.

WPCC reserves the right to determine whether goods are appropriate to the ethos and nature of the event.

Generators and Power

The use of generators must be declared in advance and approved by WPCC prior to the event. Generators must comply with current safety standards and be positioned and operated safely at all times.

Unauthorised generators will not be permitted to operate.

Gas, BBQs and Naked Flames

The use of gas appliances, BBQs or naked flames must be declared in advance and comply with current safety regulations. All relevant safety certification must be available on request.

3. Cancellation Policy

3.1 Refund Policy

Stallholder cancellations:
If cancellation occurs at least 30 days before the event, a refund will be issued minus a £20 administration fee.
No refunds will be given for cancellations within 30 days of the event.

Event cancellations:
If WPCC cancels the event, all stall fees will be refunded in full.

WPCC reserves the right to cancel or amend the event due to circumstances beyond its control, including severe weather or safety concerns.
